Fast Turnaround Printing: The 10-Point Checklist That Gets Your Job Out the Door on Time

Quick answer

Fast turnaround is mostly decided before the file reaches the press. In our experience, nine out of ten late jobs are late because of the file, the proof approval or a special material, not because of the printing itself. Work through the ten points below and a same-day product ships today, a next-day product ships tomorrow, and even plate-based work like foil or letterpress lands at the fast end of its range. 1. Send a print-ready PDF, not a working file

Export a PDF/X-1a or PDF/X-4 with fonts embedded (or outlined), images at 300 DPI at final size, CMYK color, 0.125" bleed on every edge and crop marks. Working files (INDD, PSD, Canva links) must be opened, checked for missing fonts and re-exported, which costs hours. 2. Approve the proof within the hour

Every order gets a digital proof from a human prepress operator. Production does not start until you click Approve. On a same-day job that proof lands in your inbox within about an hour of upload; if it waits until the afternoon, the 11 AM CT cut-off has passed. Add proofs@ and our support address to your safe-sender list and keep your phone nearby.

3. Choose in-stock paper

14pt and 16pt C2S cover, 100lb gloss text and cover, 13oz and 18oz vinyl, BOPP and paper label stocks, 32pt cotton and our listed Colorplan shades are on the shelf every day. Specialty papers, unusual weights and colored envelopes are ordered in, which adds two to four days regardless of how fast we print.

4. Stick to standard sizes and shapes

Standard sizes run on pre-set cutting programs and existing label dies. A 3.5 × 2 business card, a 4 × 6 postcard, a 2 × 3 rectangle label or a 33 × 81 retractable banner needs no tooling. A custom die-cut shape adds a day for the cutting die; an odd trim size adds set-up. When the deadline is tight, design to a standard.

5. Know which finishes add a day

• Same-day friendly: matte or gloss aqueous coating, hems and grommets, standard lamination on labels.
• Add one day: soft-touch lamination, spot UV, raised spot UV, painted edges, rounded corners on thick stock, folding and scoring on heavy cover.
• Add three or more days: hot foil stamping, letterpress, embossing and debossing, because a die or plate must be made first.
• Fast substitutes: digital foil and raised spot UV give a premium metallic or tactile look with no die.

6. Order the right quantity for the deadline

Digital presses are fastest for 25 to about 2,500 pieces. Above that, offset gives a much better price but adds plates and drying time. When you need 10,000 postcards for an event in two days, split the order: a digital short run ships now, the offset balance follows at the lower price.

7. Plan the shipping leg, not just production

From Houston: ground reaches Texas and neighbouring states next day, the South and Midwest in two, the coasts in three to four. Overnight and two-day air are available on every order. Enter your ZIP in the delivery estimator and read the delivery date, not the ship date. Our facility is production-only, so pickup is not available; a Houston customer's fastest route is same-day production plus next-morning courier.

8. Give the real deadline and the real ship-to

Tell us the event date and the delivery address, including whether it is a hotel, venue or trade-show hall with receiving hours. 'ASAP' cannot be scheduled; 'in hand by Thursday 9 AM at the George R. Brown Convention Center' can. With a real date we plan production and shipping backwards and tell you the latest safe approval time.

9. Use the Rush Quote Request instead of a normal contact form

10. Have a plan B ready

If the ideal spec cannot make the date, decide in advance what you would accept: a different stock, digital foil instead of hot foil, a smaller air-shipped quantity with the balance by ground, or a two-stage order where the premium version follows the event. We will propose these options on the quote; knowing your preference in advance turns a day of back-and-forth into a single reply.

Does a rush order cost more?

Same-day products are priced with the turnaround shown; where a faster option carries a surcharge it appears in the configurator before checkout. Rush quotes list any premium and any expedited shipping cost up front.

Can I get a proof faster?

Digital proofs are usually back within an hour during business hours. Sending a print-ready PDF (fonts embedded, CMYK, bleed included) is what keeps that hour from becoming a day.

What if my deadline is impossible?

We will say so in the quote and propose the closest alternative: a different finish, a partial air shipment, or a two-stage order. We do our best for every date, and we are honest when a date cannot be met.
